Collaboration Functionality Overview
Our collaboration section offers powerful features to streamline working with others on your music agreements. This section walks you through the main functions, why they're useful, and how to access detailed guides on each feature.
Automatic Save
At the top of the screen, you’ll notice that your documents are saved automatically. When any changes are made, the "Save" button will switch to "Saved" once your work is stored. This ensures your document is always up to date without you needing to worry about manually saving.
Inviting Collaborators
To start working with others, you can invite collaborators by clicking the Collaborate button.
Once selected, you’ll be prompted to enter the collaborator's email address.
After sending the invite, a Copy Link button will appear. This link can be shared across platforms like SoundBetter or AirGigs to allow collaborators to join the project.
Your collaborator will also receive an email invite. Below is the email the collaborator will receive:
The user will need to click the "Accept Invite" button. This will redirect them to the Project Invitation page:
Once they accept the invitation, their profile icon image will appear in the collaboration section, confirming that they’ve joined the project.
Additionally, the person who sent the invite will receive a notification via the bell icon.
Collaboration Roles (IMPORTANT!)
Within the project, the person who sends the invite is designated as the Project Owner.
Here’s a breakdown of the roles and process within the collaboration section:
Project Owner:
- The person who sends the invite becomes the Project Owner.
- Only the Project Owner can send the document to the Send to Sign stage to request signatures.
- After collaborators indicate they're ready, the Project Owner is responsible for signing last to finalize the document.
- Once both signatures are completed, the document is marked as Complete, and no further edits can be made.
Collaborators:
- Collaborators can indicate they are ready to sign by clicking the Ready to Sign button.
- They will sign the document first once ready.
- After signing, the collaborator notifies the Project Owner that their signature is complete.
Process Overview:
- Project Owner invites collaborators.
- The Collaborator review and click Ready to Sign when they've review the document and are ready to sign.
- The Project Owner receive notification the Collaborator is read to sign and sends the document. The document is locked and additional edits can not be made.
- The Collaborator signs first.
- Project Owner signs last to finalize the document.
- The document is marked as Complete and locked for further editing.
This process ensures clear ownership and accountability, while making sure all parties are properly informed and involved throughout the collaboration.
Feature Breakdown
Here’s a quick look at some other key features in the collaboration section, with links to more detailed help articles:
- Clean Document: View and edit the agreement without any comments or AI summaries, focusing only on the document text. The document stages are displayed but can be collapsed to hide them from view when needed.
- SMVRT Summary: A side panel offering AI-generated summaries of complex legal language to help you quickly understand the complex legal language within the document.
- Comments: Collaborators can leave comments for feedback or discussion points on specific sections of the agreement.
- Send to Sign: When the document is ready for signatures, this feature allows you to send it for signing.
- Sign & Finalize: Complete the agreement process with signatures, locking the document for final use.
